The Advanced Computing Center for the Arts and Design (ACCAD) at The Ohio State University seeks an ACCAD Administrative Assistant to join our team. The Advanced Computing Center for the Arts and Design (ACCAD) is a computer animation, interactive, immersive and emerging technologies interdisciplinary research center. We function as a collaborative space to make, create, imagine and connect. ACCAD is internationally recognized as one of the original and leading centers of its kind, distinguished by the transdisciplinary approach to research and teaching which is central to its identity. ACCAD functions as an applied collaborator for time-based digital media production, both in furthering the excellence of its faculty and graduate students in residence and cultivating its own innovative research agenda.

The ACCAD Administrative Assistant will independently provide administrative and business operations support to ACCAD which includes taking minutes, coordinating and scheduling research staff meetings, ACCAD faculty and staff meetings, and managing the center’s calendar; keeps LENEL (doors) building schedule up to date with Sullivant Hall building coordinator and updating door access as required each semester; serves as the first point of contact for visitors to ACCAD as the front desk, answering general questions from the public from walk-ins, answering the center’s main phone line for center inquiries and responds to emails to the center’s email, and occasionally provide quick walk-through tour of ACCAD as needed; coordinates assets for the center, including entering new assets to be tracked into Workday, partnering with center system’s manager to tag new assets, and completing required annual Asset Inventory Review; handles sensitive information with confidentiality; partners with human resources and the center cost center manager on hiring and terminations of associated faculty and graduate teaching associate each semester; co-create and coordinate the schedule plan each semester before updating SIS to ensure accuracy of course information including: dates/times, instructor names, room numbers, and seat set-asides (requirement groups) for courses; provides center’s system manager data on student enrollment to set up ACCAD Server access each semester; and creates and distributes ACCAD specific Qualtrics teaching survey for Faculty, Teaching Staff and Lecturers to solicit student feedback each semester.

The ACCAD Administrative Assistant will also provide fiscal support to the center and will submit Facilities Service Requests (FOD) purchase orders; initiate spending authorizations, honorariums, and miscellaneous fiscal payments in Workday; and manage the center’s p-card. In addition, the ACCAD Administrative Assistant will lead the coordination of major events for the Center which includes ACCAD Open House, Symposiums, Guest Artist workshops and performances, and other events as required; will assists Guest Artists with complex domestic and international travel requests such as booking hotels, flights, etc.; create news and events articles for the ACCAD website; promote the work of ACCAD on OSU channels and social media accounts; create and distribute printed materials regarding ACCAD courses and events; and maintain research, courses, and other webpages as required.

Minimum Required Education and Experience:

High School diploma or GED and 6 years of relevant experience or an Associates with 4 years of relevant experience required.
